Turn a voice note into an email

Transcription is the easy half. The useful half is turning what you actually said into something you can send.

The problem with raw dictation

Nobody speaks in finished sentences. Dictate an email and you get something like this:

"hi George just wanted to say that we can have the next meeting next Thursday at 10 otherwise Friday at 3 pm will work for me as well let me know if you want me to prepare the presentation"

Everything is there. None of it is sendable. No greeting, no subject, no paragraph breaks, no sign-off, and the tone is the tone of someone talking to themselves in a car. So you open your laptop and retype it — which is exactly the work you were trying to avoid.

What the missing step looks like

The step nobody does by hand well is restructuring: keeping every fact, dropping the hesitations, and reshaping it into the format the message actually needs. Same content, from the example above:

Subject: Meeting Request — Next Thursday

Hi George,

We can have our meeting either next Thursday at 10 a.m. or Friday at 3 p.m. — both work for me. Let me know which you prefer.

Nothing was invented. The two time slots, the question about the presentation, the recipient — all of it came from the dictation. What changed is the shape.

Three ways to do this

Copy the transcript into a chatbot

Works, and it is free if you already pay for one. Two drawbacks: it is several manual steps every single time, and your text goes to a server. If the note involves a client, a patient or anything confidential, that second point is the end of the discussion.

A cloud dictation app with built-in AI

Fewer steps. Same underlying issue: the audio and the text both travel to a third party, and you are usually renting it monthly.

A language model running on the phone

Modern iPhones can run a compact language model locally. It is less capable than a large server model — worth stating plainly — but restructuring dictation is exactly the kind of task it handles well, because the content is already there. It only has to reshape it.

Beyond email

The same transformation applies to other formats, and the format is the whole point:

• Summary — a long ramble becomes a short paragraph.
